INFORMATION THAT WE COLLECT FROM YOU

Website users

When you visit, make a donation or sign up for events on our website, you may be asked to provide certain information about yourself including your name, contact details and credit or debit card information.

We may also collect anonymised information about how you use our website, including what browser you are using, any particular web pages you are browsing, any resources that you access, the way in which you use our site and the time spent on our site.

We may ask for your dietary requirements, allergies and whether you have any disabilities to allow us to facilitate any visits to our projects or events. We will only use this information for the protection of the health and safety of the individual, but will need consent to process this data (including for example passing it on to emergency services) in the event of an incident.

Supporters

When we receive communications or donations from you we will ask to keep in touch with you and hold relevant contact information on our secure database. We will ask for information such as name, contact details and payment details.

Participants

When we work with a community partner we will process your data in accordance with our legitimate business interests. We hold data which is needed to fulfil our contractual obligations. This includes contact details and addresses.

HOW WE USE YOUR INFORMATION

Website users

Your information will enable us to bill you and to contact you when necessary concerning your donations or registrations. We may also use your information to contact you to tell you about important changes or developments to the website or our services.

Where you have consented, we would like to tell you about other news and opportunities that we offer, which may be of interest to you. You can tell us about your preferred methods of contacting you. You can change your preferences or ask us to stop sending you information at any time by emailing us at info@createarts.org.uk.

We will also use and analyse the information we collect so that we can administer and develop our organisation and website.

Supporters

We use your information to fulfil statutory obligations (for example, the collection of Gift Aid), and where you have consented to tell you more about our work. We often invite our supporters to attend one of our projects; all communication around this is bespoke.

Participants

The information we collect from our participants is used exclusively to facilitate our workshops. Any personal data that we collect is anonymised after the project has finished and before it is used in reports or case studies. We collect media consent forms from our participants which are used to confirm whether we are able to store and use images and videos taken during the project.

Community Partners

Data from community partners is used to allow us to fulfil our contractual obligations for individual contracts as stated in each individual contract.

HOW LONG WE HOLD YOUR INFORMATION FOR

We only keep your information as long as is reasonable and necessary for the relevant activity, which may be to fulfil statutory obligations (for example, the collection of Gift Aid).

Cookies

Cookies are small amounts of information, which we may store on your computer.

Our system will issue cookies to your computer when you access our site. Cookies make it easier for you to use the site during future visits. They also allow us to monitor website traffic and to personalise the content of the site for you. HOW WE SHARE YOUR INFORMATION

The information you provide to us may be accessed by or given to third parties, some of whom may be located outside the European Economic Area, who act for us for the purposes set out in this policy or for other purposes approved by you. Those parties process information such as credit card payments and provide web support services on our behalf.   

We may also pass aggregate information on the usage of our website to those third parties but this will not include information that can be used to identify you. We do share anonymised data with funders and supporters to report on our growth and equal opportunities.

Unless required to do so by law, we will not otherwise share, sell or distribute any of the information you provide to us without your consent.

SECURITY AND DATA RETENTION

We use security measures to protect your information from access by unauthorised persons and against unlawful processing, accidental loss, destruction and damage. We will retain your information only for as long as is necessary. We will endeavour to keep it accurate and up to date.

YOUR RIGHTS
